Photographer Invoice Template

Shoot fees, editing, prints and licensing — invoiced cleanly. A free photographer invoice template you can edit online in seconds.

Photography invoices confuse clients more than most: they are paying for your time on the day, your hours at the editing desk afterwards, the right to use the images, and sometimes physical products — all on one bill. A well-built photographer invoice separates those four things so clients never feel they are paying twice. The sample below is a full-day wedding: the shoot itself, a second shooter, premium retouching per image, and prints — with the online gallery included free, shown as a $0 line so the client sees the value. Adapt it for portraits, events or commercial work.

Why photographers should invoice the balance before delivery

Your leverage as a photographer disappears the moment the full gallery is delivered — which is why most professionals invoice the balance before the event or before final files are released. This template supports that flow: a booking-fee invoice when the date is reserved, and a balance invoice with every extra (second shooter, retouching, prints) itemised so there are no surprises. Showing included extras as $0 lines — like the online gallery in the sample — quietly shows clients how much value is bundled in. If a balance does go overdue, chase it with the payment reminder generator before it becomes awkward.

Photographer invoice FAQ

Many photographers use “booking fee” or “retainer” because it reserves the date and is typically non-refundable; “deposit” can imply it is refundable. Whichever you use, state the terms on the invoice and in your contract.
Common practice is 7–14 days before the event, or before the final gallery is delivered. Put the exact date on the invoice — not just “on delivery” — so there is nothing to argue about.
Personal use (prints, sharing with family) is usually bundled. Commercial use — advertising, resale, editorial — is licensed separately, priced by scope and duration, and listed as its own invoice line so usage rights are documented.
Per image is clearest for retouching beyond the included set (the sample uses $12 per image). For heavy composite work, an hourly line works better. Either way, state the included amount in the package line so extras are obviously extra.
In most countries the photographer owns the copyright by default; the invoice grants the client a licence to use the images as agreed. Note the licence on the invoice or contract — it protects both sides. This is general information, not legal advice.
Add it as its own lines — mileage or travel fee, plus accommodation for destination work — rather than inflating the shoot fee. Clients accept itemised travel far more readily.
Yes, and you should. A $0 line for the online gallery or a complimentary print shows the client everything they are getting and makes the total feel fair. BillsZilla lets you add items with a rate of 0.
